Job Responsibilities.

  • Maintaining executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Attending meetings and keep minutes.
  • Receiving and screening phone calls and redirecting them when appropriate.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for executives
  • Coordinate meetings by arranging boardrooms and meeting rooms; preparing agenda’s and support materials and prepare and distributes minutes; arrange refreshments; secure media and materials.
  • Handle confidential documents ensuring they remain secure
  • Attend management and other meetings and take minutes, as directed by the Director.
  • Record all decision and action from meetings and follow up on behalf of MD.
  • Participate in project teams as designated.
  • Attend meetings, workshops, conferences etc.
  • Help facilitate other Director on their visits to offices.
  • Assist with some personal errands and projects.

Job Requirements

  • Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Economics, Business Studies/Administration/Management, Secretarial or equivalent.
  • Required skill(s): able to communicate with all level of people, excellent interpersonal, excellent business letter writing and correspondence.
  • Required language(s): English, Bahasa Malaysia, Chinese,
  • Required verbal and written in Mandarin.
  • At least 5 year(s) of working experience in the related field is required for this position.
  • Preferably Senior Executives specializing in Secretarial/Executive & Personal Assistant or equivalent.
  • Pleasant personality, tactful, a positive & can-do attitude, Able to maintain high levels of professionalism and confidentiality
  • Proficient in Microsoft Office applications
  • Excellent human relation skills
  • Well groomed, pleasant disposition and motivated
